1. Who We Are

Healing with Zosia is a sole trader practice run by Zosia, based in London, United Kingdom. For the purposes of UK data protection law, Healing with Zosia is the “controller” of the personal data described in this policy.

2. What Personal Data We Collect

We collect the following types of personal data:

Contact and booking details: your name, email address, phone number (if provided), and any message you send us through the website contact or booking form
Payment details: if you pay by bank transfer, we see your name as it appears on the transfer through our Monzo Business account. If you pay by card via SumUp, your card details are processed directly by SumUp and are never seen or stored by us
Session information: notes about what we discuss or work on in your sessions, which may include details about your emotional wellbeing, physical health, or relationships where relevant to the work
Animal Healing details: your name and contact details, plus information about your animal. Information about an animal is not personal data in itself, but your own contact details are
WhatsApp group details: if you join the Heaven and Earth Healing Circle WhatsApp group, your phone number and display name become visible to other members of the group
Website usage data: our website is built on Wix, which may automatically collect limited technical data, such as browser type, device type or general location, using cookies. See Wix’s own privacy and cookie policy for details

3. Special Category Data (Health Information)

Our work often touches on emotional, physical or relationship information that can count as “special category data”, specifically health data, under UK data protection law.

We only note what is relevant to supporting your sessions, and we rely on your explicit consent to process this information. We ask for this consent when you book your first session, and you can withdraw it at any time by letting us know.

4. How and Why We Use Your Data

We use your personal data for the following purposes, and on the following legal grounds:

To respond to enquiries and arrange sessions — necessary to take steps towards a contract with you
To take payment for sessions — necessary to perform our contract with you
To keep session notes so we can track progress and provide effective sessions — our legitimate interest in delivering good, consistent sessions, and, where notes include health information, your explicit consent
To run the Heaven and Earth Healing Circle WhatsApp group — your consent, given when you choose to join
To send occasional updates about upcoming Circle sessions or availability by email or WhatsApp — your consent, and you may unsubscribe or leave the group at any time

5. How We Store and Protect Your Data

Session notes are kept in a physical, handwritten notebook, not stored digitally, kept in a secure location, and not shared with anyone else
Contact and booking details submitted through the website are held within Wix’s systems and in our own email account
We do not store your card payment details. Card payments are processed directly by SumUp, and bank transfers are processed directly by Monzo Business. Please refer to SumUp’s and Monzo’s own privacy policies for how they handle your payment data

6. Who We Share Your Data With

We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.

Your data may be processed by the following service providers, each of which has its own privacy policy governing how it handles your data:

Wix — website hosting, and contact/booking forms
SumUp — card payment processing
Monzo Business — bank transfer payments
WhatsApp (Meta) — if you choose to join the Healing Circle group

We may also disclose your data if required by law, for example to comply with a legal obligation, or to protect the safety of you, your animal, or others.

7. International Transfers

Some of the providers we use, including Wix and WhatsApp, may store or process data outside the United Kingdom. Where this happens, those providers are responsible for ensuring appropriate safeguards are in place, such as standard contractual clauses or an adequacy decision.

8. How Long We Keep Your Data

Session notes are kept for up to 7 years after your last session, in case you return to us or for our own record-keeping, and are then securely destroyed
Booking and contact details are kept for as long as you remain an active client, or for a reasonable period after your last contact with us
If you ask us to delete your data, we will do so, unless we are required by law to keep it, for example for financial or accounting records

[Note for Zosia: 7 years is a common default for therapy/wellness-style session notes, roughly aligned with typical UK professional record-keeping practice, but you can shorten or lengthen this. Just make sure whatever you write here is actually what you do in the notebook.]

9. Your Rights

Under UK data protection law, you have the right to:

access the personal data we hold about you
ask us to correct inaccurate data
ask us to delete your data, subject to any legal requirement to keep it
object to, or ask us to restrict, certain uses of your data
withdraw consent at any time, where we rely on consent
request a copy of your data in a portable format, where relevant

To exercise any of these rights, contact us at healingwithzosia@gmail.com. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you are unhappy with how we have handled your data.

10. Children

Our services are intended for adults. We do not knowingly collect personal data from anyone under 18 without the consent of a parent or guardian.

11. Cookies

Our website is built on Wix, which may use cookies to help the site function and to understand how visitors use it. If we add any additional tools in future, such as analytics or advertising cookies, we will update this policy and add a cookie consent option where required.

We may update this Privacy Policy from time to time. Any changes will be posted on this page, with an updated “last updated” date.
